Professional Email for Your Restaurant: Why to Drop the @gmail.com and How

Professional email is one of those things a restaurant never checks until it fails: the supplier who can’t find your invoice, the company asking for a Christmas dinner quote that never gets an answer, or the [email protected] still listed on the website years after Pepe left. Having an email address on your restaurant’s own domain ([email protected]) isn’t about image: it’s the difference between your messages arriving or landing in spam, and between the mailbox belonging to the business or to whoever happened to open it.

Why a @gmail.com costs a restaurant more than it seems

  • Trust. A group booking an event, a travel agency or a new supplier sees [email protected] and hesitates. They see [email protected] and know they’re dealing with the business.
  • The mailbox belongs to a person, not the venue. A free account is usually in the name of whoever created it. When that person leaves — a manager, a partner, the nephew who built the website — they take the password, the supplier history and sometimes access to Google, Instagram or the booking platform that were registered with that address.
  • One inbox for everything. Bookings, invoices, CVs and supplier promotions all in the same place. With your own domain you can separate bookings@, invoices@ and kitchen@ without opening new accounts anywhere.
  • Consistency with your website. If your site is yourrestaurant.es, the email shown on it, on Google and on the menu should use the same domain. It’s one more signal that the business is real and well run.

SPF, DKIM and DMARC: why your emails end up in spam

Since February 2024, Gmail requires everyone who sends it email to authenticate their domain with SPF or DKIM, and large senders must also publish DMARC. Yahoo rolled out similar rules at the same time, and since November 2025 Google rejects or spam-folders non-compliant mail much more aggressively.

In restaurant terms:

  • SPF states which servers are allowed to send email on behalf of your domain.
  • DKIM signs every message to prove it wasn’t altered on the way.
  • DMARC tells the receiving server what to do if someone tries to spoof your domain.

They are three DNS records. If nobody set them up — common when someone bought the domain “for the website” and email was added later from somewhere else — your replies to guests and event quotes may be landing in spam without you knowing. A properly set-up professional email comes with all three configured from day one.

How much professional email costs a restaurant

The best-known option is Google Workspace: its Business Starter plan costs €6.80 per user per month on an annual commitment (€8.10 without commitment), excluding VAT. The key word is “per user”: every mailbox is billed separately. A normal restaurant doesn’t need one mailbox, it needs several.

Restaurant mailboxesEmail billed per user (€6.80/mailbox)
3 (info@, bookings@, owner)€20.40/month
5 (+ events@, kitchen@)€34.00/month
8 (+ managers and invoicing)€54.40/month

At Bouzon Digital the Email module is not priced per user: it is one module fee, not one per mailbox.

Beyond price, look at who sets it up. Most services hand you the tools and you (or your IT person) configure the DNS, create the mailboxes and migrate the old email. If something goes wrong with SPF or DKIM, it’s on you to work it out.

What the Bouzon Digital Email module looks like

At Bouzon Digital, professional email on your own domain is a €9.99/month module added to your website or your POS, designed so the restaurant never has to touch anything technical:

  • Mailboxes on your own domain for the team, with no per-user pricing.
  • The inbox lives inside the same panel where you see bookings, orders or the till. One login, one place.
  • SPF, DKIM and DMARC configured by us, so your replies reach the inbox.
  • Sign-up, DNS and migration of your old mailbox included, with no setup fee.
  • You can also connect it to an email app over IMAP/SMTP, although the access we recommend is the panel.

One important requirement: to provide the email, the domain has to be registered with us. If it currently sits with another provider, it gets transferred first; we’ll tell you before starting whether your case needs it.
