For some venues, a booking system is a game changer. For others, it’s an unnecessary monthly cost that complicates things more than it helps. Let’s break it down.
When it does make sense
Your venue has more than 40 covers
Below that, managing bookings by WhatsApp or phone is perfectly workable. Past 40 covers, keeping the diary by hand becomes a headache: you get called 30 times a day and you can’t always be on the phone.
You tend to have a waiting list at weekends
If people slip away because you didn’t answer the phone or you’re mid-rush, an online system captures those bookings without you losing a single one.
You want to stop asking customers for their details in person
A good system saves name, phone number and date automatically. Over time you build a valuable database: who came, when, what they ordered. Pure gold for building loyalty.
When it doesn’t make sense (yet)
You’re a tapas bar or a walk-in venue
If your flow is neighbourhood regulars coming in spontaneously, a booking system can actually reduce your revenue: you’d be forcing walk-ins to wait or leave.
Your average spend is low
If the average spend per table is €15–20, paying €30–60/month for a system eats into a margin you can’t spare.
Your off-peak hours are very quiet
A booking system helps manage demand, it doesn’t create it. If your venue is empty at 8pm on Thursdays, your problem isn’t technical, it’s marketing.
What to look for if you decide to take the step
- No commission per booking. Some platforms charge €2–3 per cover. That eats into margin fast.
- Built into your website, not an external link. Customers get suspicious when sent to another domain.
- Instant confirmation, no waiting around. If the customer has to wait for a reply, half will go elsewhere.
- Mobile management for you. You’ll be checking that diary 20 times a day.
- Automatic reminders by SMS or email. They cut no-shows by 30–50%.
The question isn’t “should I have online bookings?” but “does my business model actually benefit from having them?” If the answer is yes, invest properly. If not, save that money for professional photos or local advertising. It’ll pay off better.
