Group dining and private events for Costa del Sol restaurants: deposits, set menus and coordination without WhatsApp chaos
The group booking is the most profitable reservation a restaurant can take in July. It is also the one that eats the most time before anybody sits down. The organiser messages on WhatsApp, asks whether there is room for fourteen on Friday at two, waits for a reply, writes again to change it to twelve, then to fifteen, asks whether a set menu is possible, whether there is an allergen list in English, whether you take cards, whether anything has to be paid up front. The restaurant answers from the same phone it uses to take orders during service. Three days later the organiser disappears without confirming. On Friday, the table is laid for fifteen and nobody shows up.
That isn’t disorganisation. It’s the wrong channel.
The problem with WhatsApp for large groups
WhatsApp has no institutional memory. When the restaurant needs to know the confirmed headcount, someone has to scroll back up the thread to a message from four days ago. There is no deposit on record. No booking reference. No signed confirmation. The organiser doesn’t feel the cost of the no-show, because they never paid anything.
The cost to the restaurant is twofold: the time spent coordinating before the booking, and the empty table when they don’t turn up. For a party of twelve at an average spend of thirty euros, a no-show is €360 of lost revenue plus the prepared food that has to be thrown out.
TheFork and similar platforms are designed for individual bookings, or parties of two to four. Their deposit system does exist, but it applies a per-cover commission to the group, the per-cover price varies according to the platform agreement, and the group’s details — email, phone, visit history — end up in TheFork’s database, not the restaurant’s.
Automatic Stripe deposits: the advance payment that arrives without chasing

English confirmations for international groups
On the Costa del Sol in July, half the groups booking are not local. British stag and hen parties in Torremolinos search in English, organise in English and need the confirmation in English. The same pattern repeats with Dutch groups in Fuengirola, Germans in Marbella and mixed expat parties in Mijas Costa.

And the booking can’t be closed while its ticket is still open.
If the restaurant has a set group menu configured — starter, main, dessert and a drink at a fixed price — that menu can be pre-built as a category in the POS catalogue. The waiter only confirms the individual variations, and the kitchen gets the full order from the outset.
Groups in each Costa del Sol town
Benalmádena — Bouzon Digital’s base, in Arroyo de la Miel. Groups of eight to twenty-five from the UK, organising several days in the area and looking for a restaurant with a group menu, a fixed price and no surprises. The automatic deposit removes no-show uncertainty in precisely the segment most likely to cancel when nothing has been paid.
Fuengirola — Los Boliches has an established Dutch, German and Swedish community that organises community meetings, expat club dinners and association events months ahead. These groups are highly loyal to a venue if the booking process runs smoothly. An English confirmation — or simply one with clear details — closes the booking without further phone calls.
Marbella — Puerto Banús is the destination for international corporate dinners, yacht-party overflow and luxury events with groups of ten to forty and a high average spend. Automatic confirmation, a deposit and an English menu are the minimum expected in this market. A WhatsApp booking process at a Marbella restaurant, up against another with an online form, a deposit and instant confirmation, is not competitive.
Estepona — The old town and the Puerto Deportivo have British and Nordic expat groups organising community dinners regularly. They are repeat customers who come back if the process worked the first time. The bookings database accumulates the organiser’s history — date, headcount, special requests — ready for the next reservation.
Mijas Costa — La Cala de Mijas and Calahonda have the highest concentration of foreign residents on the Costa del Sol: 40% are non-nationals, with one of the largest British communities in Spain. Groups from these communities — neighbourhood dinners, golf events, birthday celebrations — are organised by people who have been in the area for years and have clear expectations about efficiency.

Above what headcount does an automatic deposit make sense? Most restaurants switch it on for groups of eight or more. Below that, a no-show has less impact and the friction of a deposit can put small groups off booking at all. The restaurant sets the threshold in the admin panel.
How much should I charge per person as a deposit? It depends on your average spend. A common reference point is 30–40% of the per-person group menu price. If the set menu is €30 a head, a deposit of €10–12 covers the prepared food in the event of a no-show and reduces the risk of a last-minute cancellation.
Can I ask for diners’ allergies and intolerances on the booking form? Yes. The group form includes a free-text notes field where the organiser can flag dietary restrictions.
